Ensemble Studio Theatre (EST) is seeking a dynamic interim Transition Manager for a 6-month period (with a possible 3-month extension). The Transition Manager will help guide the organization as it transforms its leadership systems from the current structure (Artistic Director and Executive Director) into a new one, with two Co-Artistic Directors, a Managing Director, and administrative and artistic staff realignment while maintaining operational continuity throughout. Serving largely as an interim Managing Director, the Transition Manager will collaborate with staff to execute the ensemble’s vision, mission, and goals in new play development and production while exemplifying its core values of diversity, equity, and inclusion. The Transition Manager will work closely with the current artistic, finance, communications, development, and production staff. The Transition manager will also work with the new leadership (Co-Artistic Directors and Managing Director) and management (General Manager, Development Manager) positions as they are on-boarded. This position will maintain current administrative and financial systems to ensure continuity throughout this period. The Transition Manager reports to the Board of Directors, working collaboratively with Board officers, and will be responsible for keeping the Board informed and abreast of management progress and outcomes on a regular basis, and will be a vital thought partner under a shared leadership model. They will meet regularly with the Leadership team of the theatre, ensuring shared vision and collaboration across departments.
Responsibilities
Human Resources:
Encourage staff and leadership attentiveness to EST’s ongoing commitment to the theatre’s mission and Equity, Diversity and Inclusion.
Help being to implement a system of staff performance reviews and performance documentation as needed
Outsource human resource issues to consultants, as needed
Manage search and hiring process for open positions, including preparation of letters of hire
Finance (Lead and collaborate with financial management contractor on the following duties):
With Board Treasurer, manage financial services contractors, including approval of expenditures and payroll
Schedule and attend board finance committee meetings, providing documents and information as needed
Manage on-site storage of financial documents
Monitor box office and fundraising results and reporting same to staff, Board, and Members Council
Fundraising & Development (Lead and collaborate with development manager and development consultant on the following duties):
Develop fundraising outreach and strategies including research and personal appeals
Review major fundraising proposals, edit where necessary;
Supervise grants calendar and compliance;
Supervise the implementation of fundraising drives
Office Administration
Office management
Secure IT consultant(s) to provide onsite services as needed.
Supervise General Manager and Company Administrator
Board Of Directors Management
Schedule meetings, draft and circulate agendas, take minutes at meetings alongside the team of associate co-chairs.
Communications/Marketing/PR
Support staff in developing and executing the company's annual production and institutional marketing plans - both public facing as well as within the Membership.
Facilities
Manage projected move within the building of EST’s secondary floor facilities.
Ongoing meetings and communications with building and property managers
Approve Service Contracts (Vendors)
Production
Work with artistic and production staff to draft and implement all production contracts
Draft letters of agreement for playwright commissions
Draft letters of agreement for designers Provide support to artistic and finance staff in union negotiations.
Annual Ensemble Membership Meeting
Prepare administrative report in collaboration with staff for annual meeting, as well as other meeting prep.
