The Contract Specialist reports to the Director of Academic Planning and Operations and collaborates with academic staff and contractors. This role focuses on managing large-scale, complex contracts and ensuring the smooth execution of academic programs, contracts, and grants. The Contract Specialist stays informed about current policies to provide timely support as needed.
Key Responsibilities
Define and monitor contract performance metrics to ensure timely execution, including vendor meetings and deliverables.
Monitor contracts and initiate necessary actions to comply with amendment and procurement procedures.
Collaborate with Senior Program Management Specialists to assess risks in project plans related to contracts.
Facilitate contract execution with contractors, managing scheduling and deliverable submissions.
Develop scope of work for projects ranging from mid-level to multi-million dollars, in compliance with organizational protocols.
Manage contract executions and amendments following internal schedules and state procurement guidelines.
Review invoices related to contracts to ensure alignment with budgets and billing schedules.
Participate in vendor calls to discuss upcoming work and address any deviations from contract terms.
Assist in day-to-day operations of academic programs, maintaining effective communication with educators, contractors, and IDOE staff.
Collaborate effectively with contractors and IDOE staff members to achieve program goals.
Support the Director of Academic Planning and Operations and other academic leadership as needed.
Ensure compliance with local, state, and federal laws and policies.
What You'll Need For Success
To succeed in this role, candidates should possess:
Bachelor's Degree required.
Minimum Of 3 Years Of Experience In Contract Management.
Ability to work collaboratively in a team environment.
Strong interpersonal and communication skills.
Experience working in educational settings.
Excellent attention to detail.
Proficiency in Microsoft Office and Google Drive applications (Word, Excel).
Ability to maintain accurate records and files.
