The Purchasing Department is created for the purpose of providing a "checks and balances" system for expenditure of public funds. The Purchasing Department strives to maintain consistent and open communication with the vendor community and the various supported County departments and agencies.

What you will do at Harris County Purchasing Department:
The Purchasing Coordinator must be knowledgeable of all phases of the Harris County purchasing process and be able to communicate and coordinate with departments, vendors, and other Purchasing Department personnel. The Purchasing Coordinator supports multiple Buyers, Senior Buyers and/or Contracts Administrators.
Essential Functions and Duties:
Prepare documents supporting the purchasing process including, but not limited to:
Bid/Request for Proposals (RFP)/Request for Qualifications (RFQ) specifications
Correspondence (agenda items) to Harris County Commissioners Court, the Harris County Hospital District Board of Managers, or other governing bodies
Correspondence to end-user departments and vendors
Spreadsheets tabulating vendor responses to bids, RFPs, RFOs, or RFQs
Proofread documents for accuracy
Process project-related bond and insurance documents
Perform data entry within multiple purchasing systems to update project information
Scan and index documents into the purchasing records management system on a timely basis
Communicate project information to end users, vendors, and the general public as needed
Distribute agenda items to departments and vendors
Open bids and responses to RFPs and RFQs on a rotating basis with other Purchasing Coordinators
Prepare hardcopy packages of advertised bids, RFPs, and RFQs for advertised projects

Requirements

Education & Experience:
High School Diploma or GED Equivalent from an accredited educational institution
Minimum one (1) year of advanced studies with
Two (2) years of general business experience
OR:
High School Diploma or GED
Two (2) years of purchasing related experience with
Two (2) years of general business experience
Additional Requirements:
A minimum clerical aptitude score of 80% and a typing speed of 50 w.p.m. with 90% accuracy.
Knowledge Skills, and Abilities:
Ability to communicate well with varied levels within the business community, both verbally and in writing
Word processing experience
Ability to collect, organize, analyze, and interpret numerical data
Must have excellent math and research skills
Ability to create and operate Microsoft Excel spreadsheets
Working proficiency in Microsoft PowerPoint
