APPLICATION INSTRUCTIONS:
The Institute for Sustainable Agricultural, Food, and Environmental Science (SAFES) in the College of Agricultural Sciences is seeking a hardworking, skilled grants professional to fill our Proposal and Award Generalist position. This position will report to the Institute manager but should be prepared to work in concert with our College Grants & Contracts Office as well as other industry partners. The selected candidate should be prepared to work in an environment that is fast paced, complex, and multifaceted as the institute handles large, interdisciplinary awards with a significant number of sub awards and substantial industry involvement. They will help to facilitate the proposal preparation process, reviewing awards specific to the faculty/unit; inform faculty & college personnel of the special contractual requirements; and will ensure compliance with university and funding agency guidelines. Duties will include:

Education & Experience:
This position will be filled as a professional, intermediate professional or advanced professional, depending upon the successful candidate's competencies, education, and experience. Minimum requirements include an Associate's Degree. Additional experience and/or education and competencies are required for higher level jobs. SAFES manages a grant portfolio of $50 million dollars and as such we are looking for a candidate with previous grant management experience. A candidate with a degree in accounting, finance or business is preferred. Candidates should possess ACES Certification, SIMS, SIMBA, and advanced Microsoft Excel skills.

The salary range for this position, including all possible grades is:
$46,400.00 - $81,500.00

Duties will include:
Daily Post-Award Research Administration
- Obtain expenditure data, run system-generated financial reports, and create legible budget reports for faculty
- Meet with PIs regularly to go over financial reports and spending progress
- Monitor end dates of grants/project numbers and work directly with PIs on spend down plans, no cost extensions, grant close out process
- Prepare and submit financial documents for awarded funds, including but not limited to SAP Concur expense reports, sub-award non-PO invoice payments, purchase orders, etc. in addition to budget adjustments and account close outs
- Prepare and submit salary distributions, salary redistributions, and wage transfers
- Lead routine budget meetings with investigators to review expenditures, provide forecasts, resolve issues, and provide insight and guidance on expenditures
- Maintain and track accounts for various types of cost share, including voluntary uncommitted cost share
- Maintain internal institute databases for grants, faculty, and project numbers
- Purchase and track capital equipment for use on various projects, assist Property Inventory with receipt, and reporting on equipment
- Serve as a liaison for all stakeholders in grants administered by the institute, including but not limited to other Penn State offices (Research Accounting, OSP, Purchasing, etc.), sub-awardees, third-party partners, etc
- Develop best management practices for awarded projects
- Prepare and submit budgets and requests, budget revisions, or monthly/quarterly/annual reports for sponsor review and approval
- Develop, in conjunction with the PI and college OGC, budget documents for awarded funds and account closeouts
- Troubleshoot account errors and collaborate with other University offices to resolve issues and implement solutions
- Monitor timelines and expectations and hold teams accountable to meet goals or milestones in a timely and efficient manner
- Assist institute faculty members, in concert with the Office of Grants and Contracts and/or Office of Sponsored Programs for managing pre-award processes; including prioritizing schedules/timelines; gathering data and holding faculty accountable for predetermined deadlines
- Develop/finalize proposal budget & cost share; prepare necessary forms including certifications, budget justification & cost share approvals
- Submit requests for advance fund numbers, cost centers, internal orders, cost sharing accounts, and any other account setup actions
- Initiate Internal Approval Forms and obtain approvals via workflows
- Prepare and finalize cost share requests and budget and obtain faculty/department/unit approval
- Serve as an area expert on special award types including multi-unit, interdisciplinary, significant number of sub awards, substantial industry involvement, significant administrative oversight, significant financial tracking and reporting, and multi-site clinical trials or field activities
