PURPOSE OF POSITION : To assist the GM and the GM admin related duties that are not in direct alignment with revenue however have an impact on operational excellence. .

ESSENTIAL DUTIES AND RESPONSIBILITIES:
ADMINISTRATION: Assist the GM Admin in accomplishing all assigned administrative tasks

ADMINISTRATION: Assist the GM Admin with the following:
- Accurately and efficiently maintain digital communication systems for the store and General Manager
- Complete tasks as directed by the General manager in an accurate, effective and efficient manner
- Maintain compliance with the intent of all laws, government regulations, dealer agreements, vendor agreements and company policies and procedures .
- Ensure that all incoming mail or similar items are properly put in the bin for transfer.
- Collect information associated with customer requests and report it effectively when necessary for Warranty Cancellations and other customer related issues.
- Coordinate the purchase of office supplies, event food or business related goods as needed. Implement and utilize cost saving strategies when possible.
- Review and understand all MMS process and procedures including the how to’s and be able to teach them as needed. Report any lack of improvement to GM for accountability and training purposes.
- Be a liaison for interdepartmental communication, GM, and accounting. This includes the proper communication and timely completion of accounting issues communicated digitally via Trello.
- Maintain the logs for company vehicles and company credit cards.
- When there is an event or meeting at your location, procure the necessary tables, chairs, entertainment , food etc…
- Help with various administration activities, filing, reports etc..
- Order and/or pick up lunch for the team on Saturdays.
- Manage the uploading and monthly reconciliation of sales deal scanning.
- Complete End Of Day and account for any overage or loss. Gm to Sign off on variances.
- Complete weekly deposit for offsite vendor cash pickup. (Bank run if PNC local)
- Receipt incoming checks on store level to the proper department.
- Complete and process all UCC’s and new/used titlework that is of a standard nature
- Be or be able to become a Notary
- Track all used titles coming from lien holders to reduce delays and increase inventory turns.
- Scanning and filing of MSO’s/Titles in store to drive. Maintain incoming/outgoing MSO’s & Titles.
- Reconcile that all 8300’s are completed digitally for each required transaction.
- Assist the Compliance officer with items that require someone on site as requested
- Warranty register all sales deals while ensuring accuracy on data, rebates, and program selection.
- Begin, track, and complete manufacturer coupon cases for redemption. Track and complete pending unpaid coupons.
- Manage the time card punches and time off calendar according to company standard.
- Regular, Scheduled, Predictable Attendance during store hours is required

- Maintain a culture that allows the team to ask questions and expect detailed answers.
- Language Skills to include the ability to read, analyze, and interpret the most complex documents. Ability to respond effectively to the most sensitive inquiries or complaints. Ability to use computer software programs to complete daily tasks.
- Reasoning Ability to define problems, collect data, establish facts and draw valid conclusions. Making judgments in emergencies. Making decisions on facts and on judgements.
- Work Experience Requirements 1 to 3 years of related work experience
- Driving Requirements : Clean MVR to be insurable under our insurance
- Regular attendance during normal scheduled store hours including the ability to work 9+ hours per scheduled day and the ability to work weekends.
- Frequent standing, walking and sitting
- The ability to work in a high stress environment and the ability to work under tight deadlines which may require longer/later hours as needed.
- The ability to continually engage and interact with others, including clients and employees throughout the work day via various methods of communications including phone and computer usage.
- Occasional lifting of up to 35 lbs
- Occasional pushing of up to 100+ lbs
- Occasional exposure to changes in temperature and humidity
- Frequent working with and around others
- Occasional work around mechanical parts
- Occasional exposure to hazardous chemicals
- Occasional work around moving objects, (including dogs and other service animals)
