We are looking for a tenured Executive Assistant who will work closely to support the Chairman of the Board, Partners Group USA, a Lead Director of our portfolio companies, and a part-time Board Member. This is an opportunity to partner and collaborate with dynamic leaders, focusing on growing our global business.
Duties & Responsibilities
- Act as representative of Partners Group regarding internal and external relations and correspondences and screening communications
- Efficient calendar management, keeping principal advised immediately of changes
- Ability to interact with poise and professionalism to high profile senior business, political, and personal contacts across various time zones
- Request meetings and calls on behalf of principal
- Correspondence and dictation on behalf of principal
- Constant monitoring of all Inboxes, being proactive where appropriate
- Monitoring of travel and timely advising of changes
- Trustworthy handling of credit card and banking transactions
- Coordinate international and domestic travel; prepare itinerary and logistics
- Process expense reports
- Prepare monthly invoices for Chairman's billable hours
- Interact with various payment channels for expense reimbursements
- Coordinate, host and participate in MS Teams video conferences as appropriate
- Assemble and print meeting agendas and hand-outs, and take meeting minutes as necessary
- Assist with various philanthropic duties (i.e., Board calls, meetings, events, travel)
- Track internal and external contacts, and maintain contact database
- Track Board member activity, maintain travel calendar for taxation
- Assist with event coordination, both domestic and international
- Operate independently with minimal supervision
- Available at various hours for business-related tasks during regular business working hours and periodically during off-hours (evenings and weekends)
- 10+ years of experience supporting administrative functions at the executive level for a medium to large corporate company
- Bachelor's degree preferred
- Proficient in MS Office Suite, and demonstrable ability to learn new software/systems
- Use of Siebel and/or Concur is preferred
- Excellent written and verbal communication skills
- Ability to work proactively and maintain strict confidentially, while multi-tasking and meeting deadlines
- Ability to anticipate needs, resourcefulness and responsiveness are essential
- Team player with a positive attitude, friendly and outgoing demeanor to support client-facing department
- Extremely organized, with high attention to detail
- Strong interpersonal skills, poise and sophistication with the ability to interface effectively with a wide variety of internal and external clients
